This Privacy Policy explains how Estate & Oak Real Estate Media ("Estate & Oak," "we," "us," or "our") handles information in connection with our website and our real estate media services in Central and Northwest Arkansas. We keep this simple, because our data practices are simple: we collect what we need to schedule shoots, deliver media, and get paid, and nothing more.
2. Information We Collect
- Information you give us. When you book a shoot or contact us, we receive information such as your name, email address, phone number, brokerage, the property address to be photographed, and scheduling details.
- Booking and payment. Bookings and payments are processed through our third-party booking platform. Payment card details are handled by that platform and its payment processor. We do not store your card numbers on our systems.
- Website data. Our website is a simple informational site. It does not use advertising trackers and does not set marketing cookies. Our hosting provider may automatically log basic technical data (such as IP address, browser type, and pages requested) for security and operations, and our web fonts are served by Google Fonts, which may receive your IP address when the fonts load.
- Property media. The photographs and video we capture depict properties. We schedule shoots through listing agents, who are responsible for obtaining the property owner's or occupant's consent. We ask that personal items not intended to be photographed be removed before the shoot.
3. How We Use Information
- To schedule, confirm, and perform shoots and deliver media;
- To invoice, process payments, and maintain business records;
- To communicate with you about orders, deliveries, and service updates;
- To operate, secure, and improve our website and services; and
- To comply with legal obligations.
We do not sell your personal information, and we do not share it with third parties for their own advertising.
4. When We Share Information
- Service providers. We use trusted third parties to run our business, for example our booking and delivery platform, payment processing, website hosting, and cloud storage. They receive only what they need to perform their function.
- Legal reasons. We may disclose information if required by law, subpoena, or to protect our rights, safety, or property.
- Business transfers. If our business is sold or merged, information may transfer as part of that transaction, subject to this Policy.
5. Property Media & Marketing Use
Media we create is used to market the photographed listing and may appear in MLS systems, listing portals, social media, and our own portfolio and marketing, as described in our Terms of Service. If a property owner has privacy concerns about specific media, they should raise them through their listing agent, and we will work in good faith to address reasonable requests.
6. Data Retention & Security
We retain order records and delivered media for as long as reasonably needed for business, legal, and archival purposes. We use commercially reasonable safeguards to protect information in our control; however, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Choices & Rights
- You may request access to, correction of, or deletion of your personal information by emailing us. We will honor requests as required by applicable law and note where retention is required for business records.
- You may opt out of non-essential communications at any time by replying or contacting us.
8. Children
Our website and services are intended for business use by adults. We do not knowingly collect personal information from children under 13.
9. Third-Party Sites
Links on our site, including our booking platform and social media, lead to services governed by their own privacy policies. We encourage you to review those policies.
